It’s important to always be sensitive to the privacy of your invitees – especially when it comes to contact information. As an organizer you should aim to acquire necessary details without seeming too invasive. Here are some wording tips that will ensure that your forms will be filled out accurately and completely.
Steer away from headers such as Personal Information. Only the office T.M.I guy (too much information) enjoys divulging personal information! By simply adding some context you can specific exactly what information you’re looking for – try headings such as Participant Information, Attendee Details, Delegate Information etc.
Phone numbers are likewise tricky. Requesting a “Cell Phone Number” is more overbearing than say requesting an “After Work Hours Number” or “Evening Contact.” This way your invitee understands that you’ll only be reaching them by this number if you cannot by their primary/work number.
The more clear you are with your requests and the ease of mind your provide the more RSVPs and Registrations you’ll receive. And it can be as simple as changing a single word.
