Privacy Policy

1.Who this covers

EventIQ is webinar and event software, operated by UgenticAI, Inc., at 9211 Corporate Drive, Suite 300, Rockville, MD 20850, USA. This policy explains what we do with personal information, and it covers two very different groups of people.

The distinction that matters most: if you signed up for a EventIQaccount, we decide how your information is handled and you can deal with us directly. If you registered for someone else’s webinar, they decide how your information is handled — we only hold it on their behalf. Section 3 explains what that means for you in practice.

2.If you have a EventIQ account

You are our customer, and we are responsible for your information. Here is everything we hold about you.

  • Account details — your name, email address, password (stored only as a hash we cannot reverse), and the workspace and team members you set up.
  • Billing details — your plan, subscription status and payment history. Your full card number never reaches our servers: it goes directly to our payment processor, and we store only their reference for the subscription.
  • The accounts you connect — credentials and API keys for services like Zoom, Twilio or your CRM. These are stored so we can act on your behalf, and are used for nothing else.
  • Your content — events, registration pages, email and message templates, uploaded videos and images.
  • Technical logs — request logs and error reports generated when you use the app, kept so we can keep it working and investigate faults.

We use this to run the service, take payment, send you service messages, provide support, and improve the product. We do not sell it, and we do not share it for anyone else’s advertising.

3.If you registered for a webinar

The organiser who ran that webinar chose to use EventIQ. They decide what to ask you, what to send you, and how long to keep your details. We process it under their instructions — we are their software provider, not the sender.

Depending on what the organiser asked for, that can include:

  • What you typed in — your first and last name, email address, phone number, any custom questions the organiser added, whether you asked for the replay, and whether you ticked their consent box.
  • Where you came from — the campaign, source and medium tags on the link you clicked.
  • What you did at the event — when you joined and left, how long you watched, how far through you got, whether an offer was shown to you and whether you clicked it, and how many chat messages and poll answers you sent.
To be deleted, or to see what’s held about you, contact the organiser who ran the webinar— they control that data and can act on it immediately. If you can’t reach them, write to us at anil@ugenticai.comand we will pass your request on and help them handle it. We can’t delete an organiser’s records on our own initiative, but we will not ignore you either.

Every reminder email we send on an organiser’s behalf carries an unsubscribe link that works immediately and needs no account.

4.Cookies and local storage

We keep this deliberately small. EventIQsets a cookie to keep you signed in, and uses your browser’s local storage to remember interface preferences and where you had got to in a replay. Registration and event pages use a link identifier to recognise you when you return, so you don’t have to sign up twice.

There are no advertising cookies, no third-party trackers, and no cross-site profiling.We don’t run an ad network and we aren’t feeding one.

5.Who else sees the data

We use other companies to actually deliver the service. Each one only receives what it needs to do its job, and none of them may use it for their own purposes.

Beyond that, we share personal data only when the law requires it, to protect our rights or someone’s safety, or — with notice to you — if the business is ever sold or merged.

6.Where the data lives

Our infrastructure providers operate globally, and data may be stored or processed in countries outside your own, including the United States. Where personal data moves out of the UK or the European Economic Area, that transfer relies on Standard Contractual Clauses or another approved safeguard in our agreements with those providers.

7.How long we keep things

  • Registrant data — for as long as the organiser keeps it. When they permanently delete an event, everything attached to it is deleted with it: registrations, attendance, chat, polls and answers. Deleting an account removes its data too.
  • Account and billing records — while your account is open, and afterwards only for as long as tax and accounting rules require.
  • Backups — snapshots are held on a rolling basis for disaster recovery, so deleted data can persist in a backup for a short period before ageing out.
  • Logs — kept short-term for troubleshooting and security.

8.Your rights

Depending on where you live — including under UK and EU GDPR, and under California law — you can ask to see the personal data held about you, correct it, delete it, get a copy in a portable format, object to or restrict how it is used, and withdraw consent at any time. You can also complain to your data protection regulator.

Exercising them is free and we will not treat you differently for asking. Account holders should email anil@ugenticai.com. Webinar registrants should start with the organiser, as explained in section 3. We respond within one month.

We do not sell personal information, and we do not share it for cross-context behavioural advertising, as those terms are used in California law.

9.How we protect it

Concretely, rather than in the abstract:

  • All traffic runs over encrypted connections, and data is encrypted at rest by our providers.
  • Database access rules keep each workspace’s data separated, so one customer cannot read another’s.
  • Passwords are hashed, never stored in a readable form.
  • Public endpoints are rate-limited to blunt scraping and abuse.
  • Backups run daily so data can be restored after a failure.

No system is perfectly secure and we won’t claim otherwise. If a breach affects your personal data, we will notify you and the relevant regulator as the law requires.

10.Children

EventIQis business software and is not intended for children. We don’t knowingly collect data from anyone under 16. If you believe a child’s information has reached us, tell us and we will remove it.

11.Changes to this policy

When this policy changes we update the date at the top. For changes that materially affect how we handle your information, we’ll tell account holders by email before they take effect.
